Is LearnTrek the right system for your setting?

Choosing a cloud-based progress tracking and management information system (MIS) for your setting isn’t really about finding the one with the longest feature list. Choosing a cloud-based progress tracking and management information system (MIS) for your setting isn’t really about finding the one with the longest feature list.

It’s about finding a system that reflects how your setting actually works and gives you the right tools to record, understand and evidence what is happening for the children and young people you support.

For alternative provisions and specialist settings, that can be difficult. Many education systems have been designed around the realities of mainstream schools, where pupils follow relatively predictable timetables, move through classes and subjects together, and have their progress recorded against broadly consistent measures.

That isn’t always the reality outside mainstream education. A young person might start with one session a week and gradually build from there. Their timetable could change as relationships develop. What counts as meaningful progress for one young person may look completely different for another.

LearnTrek was built with those differences in mind. That means it works differently from a mainstream MIS in some important ways. Depending on your setting, those differences could be exactly what you need, or a sign that another system would suit you better.

Your timetable might change. Your system needs to cope with that.

Mainstream timetabling can be incredibly complex, but it usually operates within relatively fixed parameters.

The school day has a start and finish time. Registers happen at particular points. Classes often move between teachers, subjects and rooms according to a timetable planned well in advance.

Alternative provisions and specialist settings can look very different. You might only work with a young person for 12 weeks. Their timetable may build gradually as they become more comfortable engaging with education. Sessions could be planned around their individual needs, and what looked right on Monday might need adjusting by Friday.

LearnTrek is designed to accommodate that flexibility. Timetables can be bespoke to individual young people, subjects can be tailored and attendance can be recorded in different ways depending on what makes sense for your setting.

What LearnTrek isn’t designed to do is sophisticated, whole-school timetabling planned a year in advance for large classes moving between multiple teachers and subjects.

If that is central to how your setting operates, it is an important conversation to have during your demo.

What if progress doesn’t fit neatly into a grade or attendance mark?

Imagine a young person who has been disengaged from education for some time.

Simply arriving at a session might be significant at first. A few weeks later, they might stay for the full session. Eventually, they might begin participating, completing work or starting conversations with staff.

An attendance mark alone doesn’t tell you that story. LearnTrek gives staff different ways to record progress and build a richer picture around each individual young person.

That approach works particularly well in 1:1 and small-group environments, where staff have the opportunity to notice those changes and record them.

It is deliberately built around the individual first. Information can then be brought together at cohort level when leaders need the wider picture.

That also means LearnTrek may not be the right fit if your team needs to apply the same limited information to a class of 30 pupils at once.

The question is what you need your data to tell you. If you want to capture individual progress in ways that reflect your provision and the young people you support, LearnTrek has been designed to do exactly that.

Sometimes an AM/PM mark only tells part of the story

There are areas where mainstream systems need significant depth, particularly around requirements such as attendance and census tasks.

LearnTrek takes a broader approach. Safeguarding, attendance, compliance and progress can sit together, giving settings a more joined-up picture of what is happening for an individual young person.

Attendance is a good example. You can record and present AM/PM register data when it is needed for external reporting. But you can also look at attendance differently for your own operational purposes, using measures designed around alternative education.

For a young person who is gradually building towards a fuller timetable, that additional context matters.

A standard attendance figure might suggest they are falling short. Look at their individual timetable, engagement and progress over time, and a very different picture may emerge.

That is the kind of progress LearnTrek is designed to make visible.

It doesn't try to do everything

There is value in being clear about this. LearnTrek is predominantly a pupil progress system. It brings together the core information needed to understand and evidence what is happening for the children and young people you support.

It isn’t an HR system. It doesn’t manage payroll. It isn’t designed to assess whether a pupil is suitable for a placement or to manage complex referral processes.

For some settings, those functions are essential within their main system. If that is the case, LearnTrek may need to sit alongside other products, or another platform may be a better fit altogether.

That is why the demo and scoping process matters. Ask questions. Talk us through how your setting works. Tell us what you need to record, what you need to report and where your current systems are making life harder.

If you already use specialist tools elsewhere in your organisation, ask us about integrations and migrations too.

So, is LearnTrek right for you?

It comes down to what you need your system to do. If you need a platform designed around large classes, fixed timetables, extensive staff management and whole-school operational functions, LearnTrek may not be the answer.

If your priority is building a detailed, individual picture of each young person, with flexible timetabling and meaningful progress tracking alongside attendance, safeguarding and compliance, that is where LearnTrek is designed to work differently.

The aim isn't to squeeze your setting into a system designed for a different kind of classroom.

It's to give you somewhere to capture what is actually happening for the young people in front of you, including the progress that another system might never notice.

Ready to see whether LearnTrek could work for your setting?

Book a demo and talk us through how your provision works, what you need to track and the challenges you’re facing. We’ll show you how LearnTrek could fit around your setting and give you an honest answer about whether it’s the right system for you!
